Job Summary
he Operations Support Officer plays a key role in ensuring the smooth execution of daily factoring operations, with a primary focus on disbursement processing and transaction accuracy. This role involves supporting the end-to-end operational workflow, maintaining client satisfaction through timely funding, and ensuring compliance with internal controls and regulatory standards.
Specific Responsibilities and Activities
• Disbursement Management:
o Process and verify daily disbursements to clients in accordance with approved factoring limits and internal policies.
o Ensure timely and accurate release of funds while maintaining compliance with approval workflows.
o Monitor funding queues and check invoices on time to avoid delays or errors.
• Operational Support:
o Assist in the daily administration of factoring operations, including receivable assignments and client onboarding
o Support transaction processing, data entry, and system updates to ensure client records are accurate and complete.
o Always Coordinate with Sales Executives, Credit Analysts, and Finance teams to resolve discrepancies or client queries.
o Assist clients with operational requirements, ensuring a smooth and efficient experience.
• Risk & Compliance:
o Adhere to company policies, operational guidelines, and compliance standards related to KYC, AML, and data protection.
o Identify and escalate potential risks or irregularities in disbursement or transaction processing.
• Reporting & Reconciliation:
o Assist in daily reconciliations between disbursements, client accounts, and bank statements.
o Prepare periodic operational and exception reports for management review.
• Process Improvement:
o Contribute to streamlining operational processes, automation initiatives, and continuous improvement efforts within the Operations team.
• General Administrative Support
o Maintain filing systems and operational records (digital and physical).
o Support audits, reviews, and internal control checks.
o Perform ad-hoc tasks assigned by the Operations Manager or senior management.
Qualifications & Skills:
→ Bachelor’s degree in Finance, Accounting, Business Administration, or a related field, preferred.
→ Understanding of disbursement processes, payment systems, and banking operations, would be considered as an advantage.
→ Attention to detail and high level of accuracy.
→ Proficiency in MS Office (especially Excel) and preferably experience with core banking or factoring systems.
→ Excellent communication, organizational, and problem-solving skills.
→ Excellent communication and interpersonal skills, with proficiency in English.
→ Ability to work independently and as part of a team.
→ Integrity, reliability, and a client-service mindset.
