Position Title: Administrative Assistant

Level of Effort: Long-term, full-time (260 days per year)

DT Global was recently awarded the 5-year USAID funded-Investment Promotion and Access to Finance Activity in Kosovo. This program aims to strengthen the private sector’s capacity to deliver sustainable economic growth through two mutually re-enforcing objectives: 1) investment promotion and attraction; and 2) increased access and utilization of diversified finance. DT Global will apply a market systems development (MSD) approach to attract greater investment and increase access to finance in Kosovo. By achieving these two objectives, the Activity will strengthen the resiliency of the private sector, create productive jobs, increase exports, and enable firms to adopt new technologies and business practices.
Position Summary:
The Administrative Assistant is responsible for general office administration, including logistics, asset management, and
Primary Responsibilities:
- Ensure the general upkeep of the office.
- Keep office records and other operational records.
- Provide administrative support to the Senior Management Team and other staff as required.
- Keep records of current services including utilities, telephone, internet, etc
- Organize and arrange office for meetings.
- Make appointments and schedule meetings.
- Arrange for office repairs and maintenance as required.
- Evaluate, analyze, and report remaining inventory for office supplies, cleaning supplies, and other consumables, and transmit information to the supply unit to avoid stock-outs.
- Assist operations staff with archiving, photocopying, scanning, and other administrative tasks
- Support in completing and documenting procurements, as assigned.
- Support Travel Logistics
- Maintain a working knowledge of all travel rules and restrictions, and help staff, consultants and beneficiaries obtain all necessary paperwork to facilitate planned travels.
- Coordinate accommodation facilities for DT Global staff and consultants visiting Pristina, Kosovo.
- Ensure proper branding / marking requirements for both operations and program materials in line with CLIENT branding and marking regulations and the program branding and marking implementation plan.
- Responsible for tracking all DT Global project assets and maintaining the property tracker on a daily basis.
- Manage the distribution and tracking of assets to staff as assigned by management, and its proper return into inventory.
- Document all lost, damaged, broken, destroyed, sold, or stolen assets and ensure it is properly reported and disposed of adhering to DT Global and USAID rules and regulations.
- Management of DT Global project inventory; proper reception and inspection of goods as per requested.
- Preparation of monthly stock reports, end of grant stocks, and oversee the fiscal year physical counts and other physical counts.
- Other tasks as assigned by the supervisor.
Education Minimum Qualifications:
- Minimum education: Bachelor’s degree in a relevant field
- Minimum 2-3 years’ experience of progressive experience working in administration, logistics or operations departments, preferably while implementing donor-funded programming.
- Prior experience working on USIAD-funded projects preferred.
- Proficiency in Microsoft Office programs, particularly Word, Excel, and Outlook ·
- Experience in scheduling meetings via Microsoft Outlook or Teams
- Experience in overseeing assets and facilities for a large donor-funded program.
- Professional demeanor when greeting guests and interacting with vendors.
- Effective written and oral communication as well as interpersonal skills
- Demonstrated problem solving and analytical skills and good judgement.
- Be proactive, have strong prioritization skills, and ability to work cross-culturally.
- Possess demonstrated leadership skills, humility, and self-awareness. ·
- Fluency in English and Albanian required; knowledge of Serbian desirable.
