USAID’s Property Governance Activity (PGA), a five-year activity, implemented by Tetra Tech ARD, aims to improve the property rights system in Kosovo to reduce corruption, increase women’s empowerment, and improve formal property rights and investments in real property. The Activity, in partnership with civil society, the private sector, and other local actors will contribute to advancing locally led development.

JOB SUMMARY:

Under the direct supervision of the Operations Manager, the Administrative Assistant will work closely with the Operations Manager to assist in managing transparent, effective, and efficient logistics, sub-contracts, and procurement processes for all the Project’s needs and resources.

MAIN RESPONSIBILITIES AND TASKS:

  • Thoroughly familiarizes her/himself with detailed Home-Office approved systems and procedures to assist with the management of local sub-contracts and requests for quotation, including preparation of Requests for Proposals (RFPs), subcontract templates and other compliance-related documents related to the solicitation (initial cost estimate, negotiation memo, etc).
  • Works closely with the Operations Manager to implement local subcontracts and procurement-related duties.
  • Assist in the preparation of event workshops, estimate cost, conference rooms, and printing materials.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning,
  • Maintains office supplies and stationery.
  • Making requests for repairs and service maintenance of office equipment.
  • Monitoring and updating inventory list.
  • Serves as acting Operations Manager in the absence of the Operations Manager.
  • Prepare all visits of STTA such as hotels, airport pickup, provide them with cell phone, and contact list for staff.
  • Maintain the contact list of Project staff and update it regularly and as required.
  • Any other task assigned by the respective supervisor (s).


QUALIFICATIONS: (MINIMUM REQUIREMENTS)

EDUCATION: At least high school graduate. A college education is preferable.

WORK EXPERIENCE: Minimum of two years experience in an equivalent position with international organizations. Work experience in USAID-funded projects is a plus.

SKILLS: Working knowledge of English, both written and spoken. Able to communicate fluently and effectively both verbally and in writing. Excellent interpersonal skills, including patience, diplomacy, willingness to listen, and respect for colleagues. Must be capable of working both individually and as part of a team. Must also be able to create a supportive working relationship among all project teams.

LANGUAGES: Excellent Language proficiency in spoken and written Albanian. Proficiency in another official language in Kosovo is a plus.

GENERAL: Tactfulness, Enthusiasm for the job. Good Human Relations skills, integrity, and ability to work under pressure.
