- Project Background:
USAID’s Kosovo Municipal Integrity activity addresses long-standing challenges related to corruption and poor-quality service delivery by the Government of Kosovo by enhancing public financial management (PFM), with a focus on municipal procurement, and by reinforcing accountability mechanisms both within government and outside of government through civil society, the private sector, and media.
The four objectives of this activity are:
- National accountability agencies provide more effective and coordinated financial oversight.
- Governments increase use of good practices in budget planning, public procurement, and contract management.
- Government advances norms and practices that support internal audit and accountability.
- Civil society, media, and the private sector improve the integrity of public and private sector actors in public procurement.
2. ROLE’S PURPOSE:
The Administration & Logistics Assistant will be responsible for ensuring the efficient and accurate operations of the project office, encompassing both administrative, logistics and financial functions. This role involves maintaining a well-organized filing system, processing transactions, and ensuring compliance with DAI's internal policies and USAID contract regulations. The Assistant will handle various administrative tasks, support financial management, and assist in logistical arrangements to facilitate smooth project operations.
3. OBJECTIVES:
- Maintain project files and documentation.
- Support financial processes related to the payment of goods and services.
- Provide logistical support for project events and activities.
- Coordinate logistics for conferences, meetings, workshops, trainings, and other events.
- Support consultants and project staff with administrative processes and requirements.
- Schedule and confirm appointments for clients, customers, and supervisors.
- Assist with project staff travel arrangements, including hotel bookings and ticket reservations.
- Assist the procurement of operational goods and services.
- Supports management of relationships with vendors, hotel services, insurance companies, etc.
- Ensure smooth operation of office facilities.
- Serve as the petty cash custodian, handling registration and payments.
- Track inventory and promptly update records of all equipment.
- Provide additional administrative, logistics and financial support as needed.
4. QUALIFICATIONS:
- Bachelor’s degree in fields such as economics, business, communication, technology, or related areas, preferred.
- Minimum of 2 years of professional experience in a similar role.
- Strong attention to detail and a commitment to professional excellence.
- Proven ability to plan, organize, and prioritize competing demands effectively.
- Highly detail-oriented and deadline-focused.
- Strong team player with a positive attitude.
- Adaptable and able to perform well under pressure and in response to changing needs.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Demonstrated initiative and self-motivation in independently handling assigned tasks.
- Excellent proficiency in reading, writing, and speaking both English and Albanian.
- Prior experience with international NGOs or donors, such as USAID-funded projects, is preferred.
- Valid Category B driving license.
5. REPORTING: This position will report to the Director of Administration.
