Job Summary

Under the guidance of the Senior Workforce Innovations Manager, the Activity Coordinator will play a pivotal role in supporting the implementation of the USAID-funded Private Sector-Led Workforce Development (PSWD) Activity. The position is responsible for coordinating project activities, including event planning, partner engagement, grant monitoring, and data collection. Working closely with technical teams and management, the Coordinator will ensure seamless execution of project tasks, effective communication among stakeholders, and adherence to programmatic and compliance requirements.

This is a dynamic role requiring strong organizational, interpersonal, and administrative skills, with a focus on fostering collaboration between private sector partners, training providers, and other stakeholders to achieve impactful workforce development outcomes.

Your Background & Skills

  • Bachelor's degree in business management, administration, human resource management or related field.
  • A minimum of 3 years' relevant work experience.
  • Very good command of English Language is required.
  • Demonstrated proficiency with Microsoft Office (Outlook, Word, PowerPoint, and Excel) Excellent attention to detail and strong organizational skills including time management, ability to prioritize multiple tasks in a fast-paced working environment, and ability to remain flexible while adhering to strict deadlines
  • Excellent interpersonal, customer service, and communications skills, both oral and written required
  • Ability to follow oral and written instructions
  • Good writing skills in both English and Albanian Languages. Knowledge of Serbian or Bosnian Language is an asset.
  • Positive attitude and willingness to support and assist colleagues.

Your Daily Tasks

  • Assist in organizing and coordinating Component 2 activities to support demand-driven training programs and workforce development systems.
  • Provide logistical and administrative support for technical assistance assignments, including tracking deliverables and timelines.
  • Collect and organize data from sub grantees to monitor progress on milestones and deliverables.
  • Facilitate communication between the Senior Workforce Innovations Manager, sub grantees, consultants, and other stakeholders.
  • Coordinate activities related to the Cisco program and other learning initiatives, including tracking sessions and outcomes.
  • Support the preparation of quarterly and annual reports by gathering data and drafting required materials.
  • Manage calendars, schedules, and documentation for Component 2 workplans and events.
  • Organize logistics for workshops, training sessions, and meetings, including travel and accommodation arrangements.
  • Provide assistance with certification, accreditation, and employer engagement initiatives.
  • Perform other support tasks as needed to ensure the successful implementation of Component 2 activities.
  • Other support duties as needed.

Relational Communication

  • Serve as the main contact for sub awardees, managing their activity implementation and communication with stakeholders, partners, and IREX staff.
  • Draft and send correspondence to stakeholders, seeking approval when necessary.
  • Ensure smooth communication with sub awardees for data collection, reporting, and organizing field visits.
  • Represent the project at public events, serving as a facilitator or moderator during conferences.
  • Plan and conduct field visits to sub awardees across Kosovo.

Partner Engagement / Business Development

Supports the renewal process of assigned program. Supports and coordinates country partner outreach as requested. Gathers market intelligence specific to regional/country of responsibility. Supports one or more areas of the proposal development process; to include, but not limited to, proposal design, writing, and/or review.

Specific tasks for assigned role include:

  • Assist in compiling necessary documentation and data for the renewal process of assigned programs under the direction of the Senior Workforce Innovation Manager.
  • Participate in meetings and discussions related to program renewal, assisting with logistics and documentation.
  • Schedule meetings, calls, and follow-up actions between the project team and country partners, facilitating effective communication.
  • Assist in drafting proposal sections, such as background information and program design.
  • Review proposal documents for accuracy and compliance, collaborating with project leadership and team members as required.

Budget, Financial and Project Compliance

  • Assist in processing advance and payment requests submitted by sub awardees under the guidance of the Senior Workforce Innovations Manager.
  • Support project leadership in reviewing and approving financial documents within established approval thresholds.
  • Assist in monitoring expenditures to ensure alignment with budget allocations and funding restrictions.
  • Stay informed about updates to financial regulations and guidelines, assisting in ensuring compliance.

Teamwork and Leadership

  • Contribute to the team’s effort by undertaking additional tasks and responsibilities as requested.
  • Other duties as assigned.
