PROGRAM SUMMARY
Co-funded by the European Union and the Government of Kosovo, the Digital Innovation Gateway for Kosovo (DIG-4K) project seeks to harness and foster digital transformation in Kosovo. The initiative is led by the Innovation and Training Park (ITP) Prizren in partnership with six domestic implementing partners and one affiliated entity (private sector, public sector, academia and CSO’s) and aims to establish Kosovo as a hub for digital innovation and training. The project's objectives revolve around empowering local businesses, educational institutions, civil society organizations, and public stakeholders, thereby creating an ecosystem that supports entrepreneurial success and drives digital innovation at local, national, and regional levels. DIG-4K targets a wide range of groups including MSMEs, startups, industry associations, technology firms, public sector entities, educational institutions, CSOs, and rural communities. MAIN TASKS AND RESPONSIBILITIES
Administration and Support:
- Provide administrative support to ensure efficient project operations, including scheduling meetings, organizing files, managing calendars, and coordinating logistics for project events and workshops.
- Assist with documentation management, including the preparation and archiving of reports, project files, and meeting minutes.
- Facilitate internal and external communication across team members and stakeholders.
Monitoring, Evaluation, Accountability and Learning (MEAL):
- Support the implementation of MEAL processes and assist in data collection, entry, and analysis to monitor project progress and outcomes.
- Assist in maintaining a database of project indicators, outcomes, and milestones to track progress toward project goals.
- Compile and prepare MEAL reports and summaries for internal review and donor reporting requirements.
- Coordinate with partners to gather relevant MEAL data and support training on data collection and reporting processes.
Communications and Outreach:
- Assist in developing and executing communication materials, such as newsletters, social media content, website updates, press releases, and reports to increase awareness of the DIG-4K project.
- Support the preparation and organization of project events, webinars, and workshops, ensuring promotional materials and communications align with project branding and goals.
- Maintain a database of project media assets (e.g., photos, videos) and contribute to storytelling efforts to highlight project success stories.
- Respond to communication inquiries and support the creation of content that promotes project impact.
Coordination and Collaboration:
- Collaborate closely with other team members, including the Team Leader, Digital Innovations Coordinator, and Finance and Compliance Officer, to ensure consistent communication and workflow.
- Facilitate partner engagement by assisting in the organization of project updates, events, and meetings, ensuring clear communication of logistical details.
- Support the integration of MEAL findings into communications materials to reflect project progress and impact accurately.
Supervisory Responsibility: None
Reports Directly To: Team Leader
Works Directly With: Six implementing partners, ITP’s: Operations Unit,
Finance & Compliance Unit, and the Technical Support/Business Development Unit.
REQUIRED QUALIFICATIONS, COMPETENCIES, AND EXPERIENCE
Qualifications
- Bachelor’s degree in business administration, Communications, Social Sciences, Project Management, or a related field.
Competencies
- Organizational Skills: Excellent organizational and time management skills with an attention to detail.
- Communication Skills: Strong verbal and written communication skills for creating content, interacting with stakeholders, and supporting project events.
- Data Management Skills: Familiarity with data collection, entry, and basic analysis for MEAL purposes.
- Adaptability: Ability to adjust to shifting priorities and work in a fast-paced, dynamic environment.
- Tech Proficiency: Competence with MS Office applications, especially Excel, Word, and PowerPoint; knowledge of social media platforms is an asset.
Experience
- Minimum of 2 years of experience in administrative support, communications, or MEAL, preferably within a project-based or international development setting.
- Experience supporting event planning, organizing files and documents, and maintaining records.
- Familiarity with MEAL processes, data management, or communications is a plus.
