Position: Administrative Associate
The National Democratic Institute for International Affairs (NDI) is a US-based, non-profit organization working to strengthen and expand democracy worldwide. Since 1999, NDI has worked in Kosovo together with political parties, civil society and elected representatives to promote democratic practices and increase citizen participation in the democratic processes.
Position Summary
NDI is seeking an Administrative/Operation Associate for daily logistics operations and support to the overall operational activities and finances of the NDI office in Kosovo under the supervision of the Operations Manager. Requirements include the ability to perform the following duties and responsibilities:
Responsibilities:
- Supply chain knowledge.
- Provide logistical support for training and conferences: including scheduling, arranging locations, arranging transportations, arranging meals.
- Attention to details and accuracy.
- Driving where is needed, timely and safe driving of project employees, consultants, project guests, project visitors.
- Ensure availability and proper functioning of necessary office supplies and office equipment.
- Performs tasks related to the maintenance of NDI vehicles.
- Distributing office supplies to staff and the office and maintaining a proper tracking system of inventory.
- Assists with financial administration and accounting and with general office
- administration
- To make certain that appropriate invoices are provided to finance
- Prepare weekly reports detailing all operational needs
- Making sure that the office is fit and comfortable for the staff.
- Performing other logistical duties as may be required by NDI management and ensures compliance with organization policies, procedures, and internal controls
- Demonstrate a client-oriented approach, high sense of responsibility, courtesy, tact and the ability to work with people of different national and cultural backgrounds.
Required qualification:
- Graduate degree preferred;
- Experience with a non-profit organization preferred
- Outstanding organizational and analytical skills.
- Ability to perform duties diligently, especially during stressful periods.
- Good knowledge of purchasing and warehousing processes.
- Strong communication and teamwork skills.
- Computer knowledge (Google drive, Microsoft Office; Excel, Word etc)
- Technology skills (camera, projector, etc.)
- Oral and written fluency in Albanian and English is required.
- Knowledge of languages of other non-majority communities would be an asset.
- Ability to work independently, under pressure, and meet deadlines
- Driving License
