Summary of Position

IREX seeks a qualified Finance & Admin Assistant to support a five-year USAID-funded Private Sector-Led Workforce Development Activity in Kosovo. The activity will seek to harness the leadership of the private sector as a change agent to develop sustainable and innovative models to develop the Kosovo workforce in partnership with technical and vocational education and training (TVET) institutions.

Under the guidance of the Finance & Operations Manager, the Finance & Admin Assistant will support day-to-day tasks within the grants and contracts management office, always ensuring adherence to IREX and donor policies and procedures.

Performs additional duties and tasks to meet the needs of the organization, team, or as assigned by supervisor.

Your Background & Skills

Experience

  • Bachelor’s Degree in accounting, finance, or relevant field
  • Minimum of 1+ years of relevant experience
  • Experience working on USAID funded programs strongly preferred.
  • Some experience with QuickBooks is preferred.
  • Knowledge of local laws, regulations, and reporting processes.

Skills

  • Demonstrated ability to track and manage partner budgets and alignment with donor regulations.
  • Ability to follow oral and written instructions.
  • Ability to read and interpret regulations and procedures and clearly communicate them to others.
  • Ability to collect and input data into computerized databases and spreadsheets.
  • Demonstrated research, analytical and presentation ability.
  • Ability to work independently and as a team member, take initiative, meet deadlines, and maintain flexibility; -
  • Ability to make decisions and solve problems under pressure.
  • Proven organizational skills and the ability to manage multiple tasks with a high degree of accuracy and attention to detail, including the ability to prioritize.
  • Ability to plan, organize and prioritize work based on identified priorities.
  • Demonstrated proficiency with Microsoft Office (Outlook, Word, PowerPoint, and Excel).
  • Fluency and comfort (both oral and written) in English is required.
  • Positive attitude and willingness to support and assist colleagues.

Your Daily Tasks

Task and Project Coordination/Management

Specific tasks for assigned role include:

  • Support the Grants & Contracts Officer and the Finance & Operations Manager with administrative tasks related to compliance and generating grants documents, as needed.
  • Conduct initial processing of incoming proposals by:
  • Reviewing submissions for relevant requirements.
  • Perform initial data entry to relevant IREX tracking systems.
  • Contribute to the activity’s reporting, knowledge management and information sharing.
  • Assist the Grants & Contracts Officer to prepare, advertise, distribute, and provide feedback to grantees during evaluation of proposals, quotations or applications, analysis of cost and price factors, and negotiations.
  • Schedule and managing meetings, conferences, workshops, and special events.
  • Make travel arrangements, coordinating conference calls, and handling RSVPs for events
  • Order office supplies, furniture, equipment and materials and research new deals and suppliers

Relational Communication

  • Communicate with project team to collect and share information to move project actions forward, as needed.
  • Establish and maintain productive and collaborative working relationships with partners, grantees, and program stakeholders, as applicable.

Partner Engagement / Business Development

  • Contribute to the activity’s reporting, knowledge management and information sharing.

Budget, Financial and Project Compliance

  • Follow up with vendors for timely collection of checks.
  • Follow up with health insurance on status of their invoices.
  • Conduct regular petty cash payments.
  • Manage and prepare payroll and salary slips.
  • Manage filing of financial and accounting records

Teamwork and Leadership

  • Contribute to the team’s effort by undertaking additional tasks and responsibilities as requested.
  • Other duties as assigned.
